How to Create and Distribute Meeting Minutes

Use meeting templates to create meetings, add minutes to agenda items, and distribute them to attendees.

Create a Meeting

  1. Navigate to the meetings page within a project.

  2. Click Create Meeting.

  3. Select a template. The category, title, and agenda items populate automatically.

  4. Update the date and time.

  5. Optional: Add a meeting link or location.

  6. Attach files by dragging and dropping, or by browsing.

  7. Review the agenda items. To add or remove items, click the Add or Remove buttons.

  8. Select attendees from the project directory.

    Note: If a user is missing, add them to the project directory first.

  9. Click Create Meeting.

Finalize and Distribute Meeting Minutes

  1. As a meeting admin, click Edit Meeting.

  2. Add meeting minutes for each agenda item.

  3. Change the status to Minutes to finalize the meeting.

  4. Click Distribute Meeting Minutes.

  5. Add any additional users to receive a copy.

  6. Click Send.

Create a Follow-Up Meeting

  1. Once the meeting is in Minutes status, click Follow-Up Meeting.

  2. Set the date for the next meeting.

  3. Click Create Follow-Up Meeting.

This copies the agenda items and attendees from the previous meeting. The previous meeting minutes are moved to a new section called Previous Meeting Minutes for reference.
