Use RFIs to request information from assignees and track responses. Assignees automatically receive an email notification when the RFI is opened.
Click the blue + button in the top right.
In the Request card, complete the following fields:
Assignees: Select the expected responders to the RFI.
Received From: Specify the original reporter of the RFI.
Responsible Contractor: Link the contractor tied to the request.
Distribution List: Add anyone else who needs to stay in the loop. Your default distribution group is automatically included.
Subject*: Briefly summarize the request.
Number*: The next number in your sequence auto-generates, but you can manually change it.
Due Date: The date auto-calculates based on the workdays set in your RFI settings, but you can change it by clicking the calendar icon.
Message*: Add the specific details of your request.
Attachments: Add any relevant files.
Note: The RFI cannot be saved unless the subject, number, and message are filled out.
In the General Details card, complete the following fields:
RFI Manager: Select the person in charge of overseeing the RFI and ensuring the responses answer the request.
Created By: This field is a read-only record of who is generating the RFI.
Ball In Court: Track whose turn it is to take action. If it's on the assignee, submitting a response automatically shifts the ball back to the RFI manager. Once the manager has it, they can manually shift the ball again or close the RFI after marking an official response.
Project Stage: Select the relevant stage.
Specification Section: Link specifications to the RFI.
Drawings: Link drawings to the RFI.
Reference: Link external references.
Location: Link a location to this RFI. You can create a new location, and it will automatically be added to the project.
Schedule Critical: Set to yes or TBD.
Schedule Impact: Set to yes or TBD.
Cost Impact: Set to yes or TBD.
Click Save as Draft or Save and Send Email to open the RFI.
